The Challenge

Diversified Maintenance provides janitorial and maintenance services to a broad range of industries, such as retail stores, schools, and medical facilities.

For quality control inspections, Diversified Maintenance relied on handwritten forms, which area managers would submit via fax and email.

As the company grew to more than 9,000 employees, the paperwork mounted.

The Solution

The company's 140 area managers have been equipped with ProntoForms, a smartphone and tablet application that allows for the collection and submission of accurate and media-rich field data.

"A typical inspection involves checking everything from floor to ceiling," says Area Manager Peter Pappas. "I'll start at the front entrance. I'll take photos to back up my documentation of what I'm observing. And we do it beginning to end - all aspects of the inspection."

Diversified Maintenance has leveraged ProntoForms Analytics to automatically send out compliance reports to stakeholders. Previously, the company created one general report that went to all stakeholders. "Everybody saw the details of everybody else's compliance information," says Patricia Richards, Manager of Business Data Analysis.

"Through Analytics, I'm able to create the report and show them they're compliant, but I can customize the report and show them only their own information," she says.

"We've changed the target to 100 per cent. We're hitting between 95 and 100 per cent, on a monthly basis."

The Benefits

"The ability to dispatch the forms has made us nimbler," says Pappas. "We're quicker. We're faster on our feet. We can change direction very quickly." The corporate office can dispatch Pappas a list of tasks, which he can then execute with ease. "It's really customized to where we're going that day."

Before turning to ProntoForms, Diversified Maintenance had a compliance target of 85 per cent, and occasionally achieved between 90 and 95 per cent. The company has upped its target now that ProntoForms makes data available immediately upon submission.

"We've changed the target to 100 per cent," says Richards. "We're hitting between 95 and 100 per cent, on a monthly basis."
